(the “Site”), and specifically by using the Oxilia platform for interaction between its Members to meet their staff locum and casual services needs (the “Platform”), you accept and consent to the practices described in this confidentiality policy for gathering, using and communicating your Personal Information, as defined in section 1 of these Terms.
Oxilia inc. (“Oxilia”) covenants to treat your personal information as confidential in compliance with applicable federal and provincial legislation and with this confidentiality policy (the “Policy”). This Policy applies only to the activities governed by federal and provincial privacy legislation.
1. Definitions
“Personal Information” means information other than a person’s professional title and contact information used for identification purposes.
“Member (s)” means any person who has created an account on the Site, including persons with a “professional” account or an “establishment” account.
2. What information is gathered?
Oxilia gathers and stores various types of Personal Information on its Members. This specifically includes your name, mailing address, telephone number, and email address, information used to confirm your status as a member of a professional college or association, information linked to your academic and professional experience, and information linked to the compensation desired, your work availability, and your fields of interest. We may gather information about the market, especially Personal Information, information on market trends and activities that influence our business, as well as information on our media and public relations activities.
3. Why do we gather Personal Information?
We gather Personal Information from you so we can conduct, manage, maintain, and develop our activities and operations, specifically to:
a) Operate the Platform and provide you with access and use;
b) Establish, maintain, and manage our relationship with you so we can provide you with our services (for example, by informing you of locum offers that match your criteria);
c) Enable Members to identify locum offers that match their search criteria and to communicate with each other after selecting and confirming an application;
d) Be able to review the services that we are providing to you, so we can understand your preferences and professional needs, and work to improve our services;
e) Send you marketing, advertising, and promotional messages as well as other information that might interest you, on the understanding that you may unsubscribe or decline to receive these communications as part of your parameters when you access your account;
f) Protect our assets and property from errors, fraud, theft, and damage; and
g) Comply with applicable laws or regulatory processes.
4.How do we use and disclose your Personal Information?
Your Personal Information may be used and disclosed as follows.
a) When you post or apply for a locum offer, some of your Personal Information, such as the city and neighbourhood where you are located, your professional profile, your locum criteria, and your availability calendar, will become visible to certain Members based on the search criteria.
b) When the application selection and confirmation process has been completed, the information linked to your identity and contact information, such as your name, address, email address, and telephone number, will become visible to the other Member involved in the transaction.
c) We may use and disclose your Personal Information for all other purposes described in this Policy or for which we have obtained your consent to use and disclose your Personal Information.
d) We may use or disclose your Personal Information without your knowledge or consent when allowed or required by law or regulations.
It is also possible that we release non-personal information (such as cumulative, anonymous client data) publicly and to our partners or other third parties.
5. With whom do we share your Personal Information?
We share your Personal Information with our employees, our contract staff, our advisers, and the other parties needing this information to help us establish, maintain, and manage our relations with you and specifically with third parties who provide us with services or provide services on our behalf, third parties who collaborate in the services we provide to you, and third parties whose services we use to be able to deliver our services.
6. How long do we retain your Personal Information?
We do not retain your Personal Information beyond the time limit permitted by law, and we delete Personal Information when it is no longer required for the purposes described in this Policy.
7. How can I manage or delete information about me?
At any time, you may update or delete your Personal Information by opening a session on the Site and making the necessary changes to your account. If you send Personal Information over the Site, and then decide that you do not want Oxilia to use, gather, or disclose that information for all the purposes allowed or required by the applicable legislation in force, you must contact info@oxilia.bravad-dev.com. You understand and acknowledge, however, that some of your Personal Information must be provided to Oxilia to enable you to use the Platform and that removal of this information might limit your access or use of the Site or Platform.
8. How do we secure your personal information?
Your personal information is stored on servers located in Quebec. We continually install and update security measures to help protect your Personal Information from unauthorized access, destruction, or alteration. However, no Internet transmission mode and no electronic information storage method is 100 percent secure. We therefore cannot guarantee the security of data sent to us or of the Personal Information we retain.
9. What information is gathered on visitors to the Site?
Our server can obtain information on your visit, specifically the IP address and domain used to access our site, the type and version of your Web browser, the website from which you access our site, the page on which you entered and from which you left, all the website pages viewed by the IP address, as well as the country from which you come. We use this information to track activities on our Site (number of visits, average length of visits, pages viewed) and strategically enhance our Internet visibility.

Our Site may contain links to a wide variety of other websites.
